EveryRing.ai (“EveryRing”, “we”, “us”, or “our”) is operated by EveryRing Pty Ltd (ABN 65 366 917 788), a company registered in New South Wales, Australia. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you use our website and AI receptionist service.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Information We Collect

We collect information in the following ways:

  • Account information — name, business name, email address, phone number, and billing details when you register.
  • Call data — audio recordings and transcripts of calls handled by the AI on your behalf, including callers’ names, phone numbers, and the reason for their call.
  • Usage data — log files, IP addresses, browser type, pages visited, and feature interactions, collected automatically.
  • Calendar data — if you connect a calendar integration, we access only the data needed to check availability and create bookings.
  • Communications — emails or messages you send us for support.

2. How We Use Your Information

  • Provide, operate, and improve the EveryRing service.
  • Deliver call summaries and notifications to you via SMS and email.
  • Process billing and manage your subscription.
  • Respond to support requests.
  • Send transactional communications (e.g. receipts, service alerts).
  • Comply with legal obligations.

We do not sell your personal information or caller data to third parties.

3. Disclosure to Third Parties

We share data only with service providers necessary to operate EveryRing, including:

  • Telephony providers (e.g. Twilio) — to route and record calls.
  • AI infrastructure providers (e.g. Vapi, OpenAI) — to transcribe and process call audio.
  • Cloud hosting providers — to store data securely.
  • Payment processors (e.g. Stripe) — to handle billing. We never store full card numbers.

All third-party providers are contractually bound to handle data only as instructed and to maintain appropriate security standards.

4. Call Recording Disclosure

Calls answered by EveryRing are recorded and transcribed. As the business subscriber, you are responsible for ensuring callers are informed that their call may be recorded, as required under applicable laws (including state-based listening device legislation). EveryRing provides a customisable greeting that can include this disclosure.

5. Data Retention

Call recordings and transcripts are retained for the duration of your subscription plus 90 days. You may request earlier deletion at any time. Account data is deleted within 30 days of account closure, except where retention is required by law (e.g. tax records).

6. Security

We use TLS encryption for data in transit and AES-256 encryption for data at rest. Access to personal data is restricted to authorised personnel on a need-to-know basis. We conduct regular security reviews and promptly address vulnerabilities.

7. Your Rights

Under the Australian Privacy Principles you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your data (subject to legal retention obligations).
  • Complain if you believe we have breached the APPs.
