One business

Setting up a single business

The most common setup. One phone number, one AI receptionist, tailored entirely to your business.

Create your account

Head to everyring.ai/login and sign up with your email. No credit card required to start.

Tell us about your business

Enter your business name and pick your industry (plumber, lawyer, cleaning company — whatever fits). EveryRing uses this to pre-configure your AI with the right tone, vocabulary, and call handling style.
Nothing to configure on Vapi or Twilio. We create the AI assistant for you behind the scenes — you never touch those platforms.

Get your phone number

Go to Settings → Phone Numbers and provision a number. We assign you a real Australian (or US/UK) mobile number backed by Twilio. Calls to that number go straight to your AI.
Publish this number on your website, Google Business Profile, and social media. It's your permanent business number.

Customise your AI persona

Under Settings → AI Persona, you can:
  • Set a custom greeting ("Thanks for calling Acme Plumbing…")
  • Add AI instructions — common questions, what to capture, how to respond
  • Upload your website content so the AI knows your services and pricing

Set up notifications

Go to Settings → Notificationsand enter the mobile number or email where you want call summaries sent. After every call you'll get: the caller's name, their reason for calling, urgency level, and a transcript.

That's it — you're live.

Test it by calling your new number. The AI will answer, take a message, and you'll see the call appear in your dashboard within seconds of hanging up.

Multiple businesses

Running multiple businesses on one number

Perfect if you operate several businesses or brands. One shared phone number — the AI asks the caller which business they're calling for, then switches into that business's persona entirely.

Example:A caller dials your number. The AI says "You've reached our shared business line — which business are you calling for today?" The caller says "AutoArchiveMail." The AI immediately becomes AutoArchiveMail's receptionist and handles the call with that business's specific instructions.

Complete the standard setup first

Follow steps 1–3 from the single business guide above. You need an account and a phone number before enabling multi-business mode.

Switch to multi-business mode

Go to Settings → Phone Numbers, click your number, and change the Call handling mode to Multiple businesses. Save.

Add each business

Go to Settings → Business. For each business, click Add a business and fill in:
  • Name — exactly how callers would say it
  • Description — one line so the routing AI can identify which business a caller wants
  • Website and Service area — optional context
  • AI Persona tab — the greeting and full instructions for how the AI should handle calls for this business
Each business gets its own AI persona. The AI will greet callers differently, answer questions differently, and capture information differently — all based on what you set here.

Changes sync automatically

Every time you add, edit, or remove a business, the routing AI updates within seconds. No rebuilds, no restarts — just save and it's live.

Calls and notifications work per business

Call logs in your dashboard show which business the caller wanted (captured by the AI during the conversation). Notifications go to the same number/email you configured — you'll always know which business the call was for.

How many businesses can I add?

There's no hard limit. In practice, 6–8 businesses on one number works well. Beyond that, callers may struggle to remember the name they're calling for and the routing AI has more ambiguity to resolve. If you have many businesses, consider grouping related ones under a single brand.

Common questions

Do I need a Vapi or Twilio account?

No. EveryRing manages all the AI infrastructure and telephony on your behalf. You never interact with Vapi or Twilio directly.

Can I use my existing business phone number?

Not yet — you'll receive a new number provisioned by EveryRing. You can forward calls from your existing number to your EveryRing number in the meantime. Number porting is on our roadmap.

What happens if my internet goes down?

Calls are handled in the cloud — your internet connection has no effect. The AI answers calls 24/7 regardless of what's happening on your end.

Can the AI book appointments?

Yes. If you connect your Google Calendar in Settings → Calendar, the AI can check your availability and create bookings in real time during the call.

What does the caller hear?

A natural, human-sounding AI voice (not a robot menu). It picks up immediately, greets them with your custom message, and has a real conversation. Most callers don't know it's AI unless they ask.

Can the AI send the caller a text after the call?

Yes — enable 'Customer confirmation SMS' in Settings → Notifications. The caller gets a text confirming their message was received.
